Practice Policies

These policies are designed to make your care at Resilient ADHD as clear, straightforward, and respectful as possible. If you have any questions about any of the below, please reach out at help@resilientadhdclinic.com or call (564) 234-3123.


Telehealth Services

All Resilient ADHD appointments are conducted via secure, HIPAA-compliant video. You will receive a link before your appointment that opens in your browser — no app download required.

What you need: A device with a camera and microphone, a private and quiet space, and a reliable internet connection. Telehealth services are available only to patients physically located in Washington or Idaho at the time of their appointment. Please let us know before scheduling if you may be out of state.

Technology issues: If a session is disrupted by a technology failure, your provider will contact you by phone at the number on file. Provider direct line: (564) 234-3123.

Confidentiality: Your telehealth sessions carry the same confidentiality protections as in-person care. Sessions are never recorded without your explicit written consent.

Prescribing: Controlled substances may be prescribed via telehealth in accordance with federal and state law. Your provider will let you know if an in-person evaluation is ever required.

You have the right to withdraw telehealth consent at any time and to request referral to an in-person provider.


Appointments & Cancellations

Appointment lengths: Initial evaluations are typically 90 minutes. Follow-up appointments are typically 30 minutes.

Cancellations: We understand that life — especially with ADHD — can make scheduling unpredictable. We ask for at least 24 hours notice for cancellations or rescheduling. Late cancellations (under 24 hours) and no-shows may be subject to a fee. Exceptions are made for documented emergencies at provider discretion.

Repeated no-shows may result in discharge from the practice. We will always work with you before reaching that point.

Minors: A parent or legal guardian must provide consent for patients under 18. Confidentiality rights for minors will be explained at the start of treatment in accordance with Washington and Idaho state law.


Communication

Non-urgent matters: Please use the patient portal or email. Response time for non-urgent messages is typically 2–3 business days.

Urgent clinical questions: Call (564) 234-3123.

After-hours: Resilient ADHD does not provide 24/7 crisis services. For urgent but non-emergency concerns, leave a voicemail and your provider will respond as promptly as possible.

Emergencies: Telehealth is not appropriate for psychiatric emergencies. If you are in crisis, please call 988 (Suicide & Crisis Lifeline), call 911, or go to your nearest emergency room.


Financial & Payment Policy

Resilient ADHD is committed to keeping care accessible.

Insurance: We are actively working to accept insurance. Until credentialing is complete, services are available at a discounted self-pay rate. We will notify patients as insurance options expand. Upon request, we can provide a superbill (itemized receipt with diagnostic and procedure codes) that you may submit to your insurance company for potential out-of-network reimbursement.

Payment: Payment is due at the time of service. We accept credit cards, debit cards, and HSA/FSA cards. A valid credit card is required on file.

Outstanding balances: Balances beyond 30 days may be subject to a late fee. Balances beyond 60 days may be referred to a collection agency.

Cancellation fees: Late cancellation and no-show fees cannot be submitted to insurance.


Stimulant Medication & Controlled Substance Policy

Stimulant medications (such as amphetamine and methylphenidate-based medications) are Schedule II controlled substances. The following policies are in place to keep you safe and comply with federal and state regulations.

Prescriptions: Due to DEA regulations, Schedule II medications cannot be refilled — a new prescription is issued each month at or around your scheduled follow-up appointment. Please plan accordingly and do not wait until you have run out.

Your responsibilities as a patient:

  • Take medication only as prescribed. Do not adjust your dose without consulting your provider.
  • Obtain controlled substance prescriptions only from Resilient ADHD, unless otherwise agreed in writing.
  • Use one designated pharmacy for all controlled substance prescriptions.
  • Store medication securely, out of reach of children and others.
  • Do not share, sell, or give medication to anyone else.
  • Lost, stolen, or destroyed medications will generally not be replaced early.
  • Consent to urine drug screening or pill counts if clinically requested.
  • Attend all scheduled appointments — missed appointments may affect prescription refills.
  • Notify your provider of any changes in health, other medications, substance use, or pregnancy.

Prescription monitoring: Your provider monitors prescriptions through the Washington and Idaho Prescription Monitoring Programs (PMP).

Grounds for discontinuation of controlled substance prescribing include obtaining prescriptions from multiple providers without disclosure, misuse of prescriptions, selling or sharing medications, repeated claims of lost/stolen medication, or drug screening results inconsistent with prescribed medications.


Medical Records

Clinical records are maintained securely in a HIPAA-compliant electronic health record system. You have the right to request copies of your records at any time. Records requests may take up to 15 business days to fulfill.


Ending Care

Either you or your provider may end the clinical relationship at any time. Your provider will provide reasonable notice and assist with referrals to ensure continuity of care. Provider-initiated termination may occur due to repeated no-shows, non-payment, or safety concerns.
